Representative Client Overview

This job description is a representative example of the types of Portfolio Supervisor, Portfolio Manager, and Multi-Site Manager positions we frequently place.

This position is geared toward smaller clients, including family-owned businesses, professional fee management companies, and new creative firms that serve the unique needs of their tenants. Portfolios typically range from 1,000 to 4,000 units, with individual properties usually under 50 apartment homes. A Portfolio Supervisor in these organizations typically manages a group of properties totaling 250–800 units.

Standard Requirements:

• 5 years minimum recent apartment management experience as a Property Supervisor, Portfolio Manager, or Multi-Site Manager (at least 250 apartment homes)

• Experience working with smaller apartment communities

• Bachelor’s Degree preferred

• California Real Estate License preferred

• Experience with property management-specific software

• Strong owner communication skills and ability to analyze and explain reports

• Recent Fair Housing training (certificate preferred)

• Supervisor Anti-Harassment Training

• Driver’s License and Insurance (required)

Standard Responsibilities:


Property Operations

• Communicate directly with tenants and property owners as needed

• Visit properties at least twice per month or more frequently as necessary

• Oversee overall property condition, identify hazards, and improve curb appeal

• Inspect vacancies upon move-out to determine necessary preparation for rent-ready status

• Work with the Maintenance Department to select and oversee vendors for maintenance work and capital improvements

• Review and approve bids for required work


Marketing

• Collaborate with Leadership and the Leasing team regarding vacancies

• Review postings, including verbiage, photos, and virtual tours

• Review or conduct shops and assist with competitive pricing strategies with input from Leadership, Owners, and the Leasing team

• Determine appropriate concessions to maintain occupancy

• Stay informed on local market and demographic changes to optimize marketing efforts


Administrative and Accounting

• Monitor rent collections and delinquencies

• Plan and approve rent increases per company and owner policy

• Issue resident correspondence as necessary

• Initiate evictions and appear in court

• Supervise completion of move-in and move-out paperwork

• Approve property expense invoices


Supervise Resident Managers

• Hire and train Resident Managers

• Supervise performance and maintain regular communication

• Address performance concerns and make termination decisions when necessary


Owner Communication

• Act as primary contact for property owners

• Obtain owner approval for work exceeding specified limits

• Provide regular updates regarding property operations

• Participate in periodic reporting and meetings

• Answer owner questions regarding tenants, vacancies, and expenses


Expected Schedule:

• Monday through Friday

• On-call

• Weekend availability as needed
