Position: Administrative Assistant (Full-time)

Key Responsibilities:

  • Greet and welcome visitors, residents, staff, and vendors in a courteous and professional manner.
  • Answer and route incoming calls promptly and accurately.
  • Maintain a clean and organized front desk/reception area.
  • Monitor and manage visitor check-ins in compliance with facility protocols.
  • Handle incoming and outgoing mail and deliveries.

Administrative Support:

  • Perform general clerical duties including data entry, photocopying, faxing, filing, and scanning documents.
  • Assist with scheduling appointments, meetings, and coordinating staff calendars.
  • Maintain organized records and logs (e.g., supply inventory, sign-in sheets, resident activities).
  • Support billing and payroll processes under the direction of the Office Manager or Administrator.
  • Assist in preparing reports, memos, correspondence, and other documentation as needed.

Facility Coordination:

  • Order and maintain office supplies and forms inventory.
  • Liaise with vendors, contractors, and service providers when required.
  • Support various departments (nursing, dietary, housekeeping) with administrative tasks as needed.

Qualifications:

  • High School Diploma or GED required; Associate degree preferred.
  • 1-2 years of experience in an administrative or receptionist role; experience in a healthcare or long-term care setting strongly preferred.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent communication, organizational, and customer service skills.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Professional demeanor, reliability, and discretion with confidential information.
